Use Your Full Monthly Quota

Every plan includes a monthly quota of AI-generated responses. Unused responses do not roll over to the next month, so leaving quota on the table means leaving value on the table. Check your quota usage in the dashboard sidebar — it shows how many responses you have used and how many remain for the current billing cycle.

If you consistently use less than 80% of your quota, consider whether you have connected all of your Google Business Profile locations. Many businesses underutilize their plan simply because they forgot to add a location or paused syncing for one without re-enabling it.

Pro Tip

If you are on a plan with more quota than you need, you may be able to downgrade to save costs. Conversely, if you are regularly hitting your limit before the end of the month, upgrading gives you uninterrupted coverage.

Configure Notifications Properly

Notifications keep you in the loop without requiring you to check the dashboard constantly. Properly configured notifications mean you hear about the things that matter and are not overwhelmed by noise.

  1. Go to Settings and then Notifications.
  2. Enable email notifications for new negative reviews (1-2 stars) — these are time-sensitive.
  3. Enable weekly summary emails to get a digest of all review activity without daily interruptions.
  4. Enable quota alerts so you know when you are approaching your monthly limit.
  5. Disable notifications for categories you do not need — for example, you may not need an alert for every 5-star review.

Note

You can configure different notification preferences per team member. Admins might want alerts for all flagged reviews, while managers only need notifications for their assigned locations.

Fine-Tune Your AI Preferences

Default AI settings produce good responses out of the box, but spending 15 minutes customizing your preferences can significantly improve response quality. The AI preferences you set are used every time a response is generated, so small improvements compound across hundreds of responses.

  • Set the response tone to match your brand personality — professional, friendly, casual, or empathetic.
  • Write custom instructions that reflect your specific business policies and communication style.
  • Specify your business name, key services, and any common terms your customers use.
  • Define how you want the AI to handle different star ratings — concise thanks for 5 stars, empathetic and detailed for 1 star.
  • Review generated responses for the first two weeks after changing settings and adjust if the output does not match your expectations.

Leverage Insights for Business Decisions

The Insights dashboard is not just a reporting tool — it is a window into how your customers experience your business. Use it to identify operational issues before they escalate, spot emerging trends, and measure the impact of changes you make.

  • Track your average rating over time to see whether customer satisfaction is improving or declining.
  • Monitor review volume trends to understand when customers are most likely to leave reviews.
  • Use sentiment analysis to identify which aspects of your business receive the most praise or criticism.
  • Compare performance across locations to identify best practices from your top-performing sites.
  • Export data for use in broader business reporting, board presentations, or marketing materials.
