Manually Syncing Reviews

While ResponseIQ automatically syncs reviews every 15 minutes, you can trigger an immediate sync at any time from the Locations page. Manual sync is useful when you know a new review has just been posted and you want to respond right away.

How to Trigger a Manual Sync

  1. Navigate to the Locations page from the main navigation menu.
  2. Find the location you want to sync in the location list.
  3. Click the "Sync Now" button next to the location name.
  4. The button will change to a loading indicator while the sync is in progress.
  5. Once complete, a confirmation message will appear showing how many new reviews were found.
  6. Navigate to the Reviews page to see any newly imported reviews and their AI-generated responses.

When to Use Manual Sync

Manual sync is designed for situations where you do not want to wait for the next automatic 15-minute cycle. Common scenarios include:

  • You received a notification from Google that a new review was posted and want to respond immediately.
  • A customer told you they just left a review and you want to see it right away.
  • You are doing a review management session and want to make sure you have the latest data before starting.
  • You recently reconnected your Google account and want to verify that the connection is working.
  • You suspect a sync may have been missed due to a temporary issue and want to force a fresh check.

Manual Sync Limits

To protect against excessive API calls, manual syncs are rate-limited to one per location every 5 minutes. If you click "Sync Now" again within the 5-minute window, the button will be temporarily disabled and a countdown will show when it becomes available again.

Manual syncs follow the same process as automatic syncs — they check for new reviews, import them, verify quota, and generate AI responses. The only difference is the timing: you initiate it instead of waiting for the scheduled cycle.

Checking Sync Status

Each location on the Locations page displays the timestamp of its last successful sync, whether that sync was automatic or manual. If a location shows a last sync time that is significantly older than 15 minutes, it may indicate a connection issue. In that case, try a manual sync first. If the manual sync also fails, check your Google connection status in Settings.

Pro Tip

After triggering a manual sync, you do not need to stay on the Locations page. The sync runs server-side and the results will be ready in the Reviews page whenever you navigate there.
