How Insights Are Generated

Automatic Generation Triggers
ResponseIQ tracks the number of new reviews received since the last insights generation. When a location accumulates 5 new reviews, the system automatically queues an insights regeneration. This happens in the background and typically completes within a few minutes.

The 5-review threshold ensures insights are updated frequently enough to stay relevant without wasting resources regenerating after every single review.
Minimum Review Requirement
A location must have at least 10 reviews before insights can be generated. With fewer than 10 reviews, the AI cannot reliably identify patterns or trends. The Insights page will show a message indicating how many more reviews are needed before the feature becomes available.
Once you reach the 10-review threshold, the first insights report is generated automatically. From that point forward, the report updates every 5 new reviews.
What the AI Analyzes
During insights generation, the AI processes all reviews for the location, not just the newest ones. It examines:
- The full text of every review, identifying recurring topics and sentiment.
- Star ratings and their correlation with specific themes.
- Changes in sentiment over time to detect improving or declining trends.
- Specific keywords and phrases that appear frequently.
- The overall tone and emotional content of reviews.
Per-Location Scope
Insights are always scoped to a single location. If you manage multiple locations, each one has its own independent insights report. This is important because different locations may have very different strengths and weaknesses, even under the same brand.

If you manage multiple locations, compare the insights across them to identify company-wide patterns vs. location-specific issues. A problem appearing at one location might be unique to that site, while a pattern across all locations suggests a systemic issue.
Generation Time
Insights generation typically takes 30 seconds to 2 minutes, depending on the total number of reviews being analyzed. You do not need to stay on the page while generation is in progress. A notification will appear when the new insights are ready, and the page will update automatically if you have it open.
