New review alerts notify you the moment ResponseIQ detects a new Google review for any of your connected locations. These real-time notifications include the review details and are grouped by location when multiple reviews arrive in the same sync cycle.
How New Reviews Are Detected
ResponseIQ runs periodic sync cycles that check your connected Google Business Profiles for new reviews. When the sync detects one or more new reviews, it triggers the new review alert system. The alert is generated and sent shortly after detection, typically within a few minutes of the review appearing on Google.

The sync frequency depends on your plan and settings. Reviews are typically detected within 15-30 minutes of being posted on Google. The alert email is sent as soon as the sync cycle processes the new review.
What the Alert Email Contains
Each new review alert email provides all the key information about the review so you can assess its urgency without needing to log in to the dashboard:
- The reviewer's display name as it appears on Google.
- The star rating (1-5 stars) prominently displayed.
- The full text of the review, or a substantial preview if the review is very long.
- The name of the location the review was left for.
- The date and time the review was posted.
- A direct link to the review in your ResponseIQ dashboard for quick response.
Grouping by Location
When multiple new reviews are detected during the same sync cycle, they are grouped by location in a single email rather than sending separate emails for each review. This reduces inbox clutter, especially for businesses with multiple locations or high review volume.
The grouped email organizes reviews under location headings, with each review showing its rating, reviewer name, and text preview. You can click on any individual review to go directly to it in the dashboard.
Pro Tip
If you manage many locations and receive a high volume of reviews, consider disabling New Review Alerts and relying on Daily Reports and Low Rating Alerts instead. This gives you a summary without per-review emails.
Acting on New Review Alerts
When you receive a new review alert, you have several options depending on your configuration:
- If auto-reply is enabled for that star rating, the AI has already generated a response. You can review it, edit it, or let it auto-publish after the configured delay.
- If auto-reply is disabled for that star rating, click the link in the email to go to the review in your dashboard and compose a response manually or trigger an AI generation on demand.
- For low-rated reviews, consider responding promptly. Research shows that responding to negative reviews within a few hours has the most positive impact on customer perception.
Managing Alert Volume
For businesses that receive many reviews daily, new review alerts can become overwhelming. Here are strategies to manage the volume while staying informed:
- Disable New Review Alerts but keep Low Rating Alerts enabled. This way you are only notified about reviews that need immediate attention.
- Enable Daily Reports to get a once-a-day summary of all review activity instead of individual alerts.
- Use email filters to route new review alerts to a specific folder where you can review them in batches.
- Assign team members to specific locations so that review monitoring is distributed across the team.
