Timezone-Aware Reminders

How Timezone-Based Delivery Works
ResponseIQ stores each user's timezone preference and calculates the corresponding UTC times for 9 AM and 5 PM in that timezone. The reminder system checks at those exact moments whether the user has any pending reviews. If pending reviews exist, a reminder email is sent. If all reviews have been addressed, no email is sent.
This means two team members in different timezones will receive their reminders at different absolute times, but both will experience them at 9 AM and 5 PM in their respective local time.
Setting Your Timezone
- Navigate to Settings from the left sidebar.
- Find the "Timezone" section.
- Select your timezone from the dropdown. The list includes all major timezones worldwide.
- Click Save. Your reminder delivery times will adjust to the new timezone immediately.
Pro Tip
Set your timezone to where you personally work, not where your business locations are. The reminders are for you, so they should arrive when you are available to act on them.
Conditions for Sending Reminders
Reminders are not sent blindly on a schedule. The system evaluates whether you actually have work to do before sending an email. This prevents unnecessary inbox clutter.
- Reminders are only sent if you have at least one pending review that has not been responded to.
- If all reviews have auto-generated responses and are either published or scheduled, no reminder is sent.
- If you have disabled review reminders in your notification preferences, no reminder is sent regardless of pending review count.
- Reminders cover all locations connected to your account, not just a single location.
Note
A "pending review" in this context means a review that does not yet have an AI-generated response or a manually written response. Reviews with scheduled (not yet published) responses are not considered pending since they already have a response in the pipeline.
Daylight Saving Time Handling
Timezone-based reminders automatically adjust for daylight saving time transitions. When your region's clocks spring forward or fall back, the reminder delivery times shift accordingly so that they continue arriving at 9 AM and 5 PM by your local clock. No manual adjustment is needed on your part.
Important
On the day of a daylight saving time transition, there may be a brief period where the system recalculates delivery times. In rare cases, this could result in a reminder arriving a few minutes early or late. Regular scheduling resumes by the next delivery cycle.
Teams Across Multiple Timezones
Each team member has their own timezone setting, so teams distributed across multiple timezones work seamlessly. A team member in New York will receive their 9 AM reminder at 9 AM Eastern, while a team member in Los Angeles will receive theirs at 9 AM Pacific, three hours later. Both see the same pending reviews, but the reminders arrive at times convenient for each person.
Pro Tip
For globally distributed teams, stagger review responsibilities by timezone. The person who receives their morning reminder first can handle urgent reviews, while team members in later timezones can follow up during their own business hours.
