Customizing AI Tone and Style

ResponseIQ lets you choose from five distinct tone settings that control how your AI-generated responses sound. Each tone option produces noticeably different language, phrasing, and overall feel. You can change your tone setting at any time from the Settings page.

Available Tone Options

Your tone setting applies to all AI-generated responses for a given location. You can choose the tone that best matches your brand voice and customer expectations.

How to Change Your Tone

  1. Navigate to the Settings page from the left sidebar.
  2. Scroll to the "AI Response Preferences" section.
  3. Select your preferred tone from the dropdown menu.
  4. Click Save to apply the change.

Note

Tone changes take effect immediately for all new reviews. Previously generated responses that have not yet been published will not be regenerated automatically. You can manually regenerate any pending response if you want it to use the new tone.

Choosing the Right Tone for Your Business

The best tone setting depends on your brand identity and your customers' expectations. A high-end restaurant may want Formal responses, while a neighborhood coffee shop would likely prefer Friendly or Casual. Consider how you would naturally speak to a customer in person and choose the tone that most closely matches that voice.

Pro Tip

If you manage multiple locations with different brand personalities, remember that tone is set per location. A fast-casual chain location might use Friendly, while a fine-dining location under the same ownership could use Formal.

Tone and Negative Reviews

Regardless of your tone setting, the AI automatically shifts toward a more empathetic and measured approach when responding to negative reviews. A Casual tone will still sound respectful and concerned when addressing a 1-star review, while a Formal tone will add warmth and understanding. The tone setting influences the overall style, but the AI always prioritizes appropriateness for the situation.

Important

Avoid using the Casual tone if your business frequently receives serious complaints about health, safety, or financial matters. A casual response to a serious concern can feel dismissive to the reviewer.
