Your First AI Response

Once your Google Business Profile is connected and a location is selected, ResponseIQ automatically detects new reviews and generates AI responses for them. This article walks you through the entire flow from review detection to publishing your first response.
How New Reviews Are Detected
ResponseIQ runs an automatic sync every 15 minutes for each of your connected locations. During each sync, the system checks the Google Business Profile API for any new reviews that have been posted since the last check. When a new review is found, it is imported into your ResponseIQ dashboard and immediately queued for AI response generation.
Note
You do not need to keep your browser open or be logged in for syncing to work. The sync runs on the server side automatically, 24 hours a day.
AI Response Generation
Once a new review is detected, ResponseIQ's AI analyzes the review text, the star rating, and the context of your business to generate an appropriate response. Positive reviews receive warm, thankful responses that reinforce the specific things the customer praised. Negative reviews receive empathetic, professional responses that acknowledge the concern and offer to make things right.
The AI-generated response appears in your dashboard with a "Pending" status, meaning it is waiting for your review before anything is published to Google.
Pro Tip
AI responses are generated within seconds of a review being synced. If you are logged into the dashboard during a sync cycle, you will see new reviews and their drafted responses appear in near real-time.
Reviewing the AI Response
Navigate to the Reviews page and find the review with a "Pending" status. Click on the review to expand it and see the AI-generated response. Read through the draft to make sure it is appropriate, accurate, and matches the tone you want for your business.
At this point, you have three options:
- Approve — accept the response as-is and move it to the "Approved" status, ready for publishing.
- Edit and Approve — modify the response text to better fit your voice, then approve it. Editing is available on the Premium plan.
- Skip — mark the review as skipped if you do not want to respond to it at all.
Publishing Your First Response
- Navigate to the Reviews page and locate a review with an AI-generated response in "Pending" status.
- Read the AI-generated draft response carefully.
- If the response looks good, click the "Approve" button.
- Once approved, click "Publish to Google" to post the response.
- Confirm the publishing action in the dialog that appears.
- The response status will change to "Published" and the reply will appear on your Google Business Profile.
Important
Published responses are posted to Google and become publicly visible. Always review the AI-generated text before publishing, especially for negative reviews where the tone and content matter most.
What to Expect Going Forward
After your first response, the process becomes routine. New reviews will continue to arrive every 15 minutes, and AI responses will be generated automatically. You can check in once or twice a day to review and approve pending responses. Many users find that the AI-generated drafts are suitable for direct publishing the majority of the time, reducing your review management to just a few minutes per day.
Pro Tip
Set up email notifications in Settings > Notifications to receive alerts when new reviews are synced. This way you can respond promptly without having to check the dashboard constantly.
