Managing Location Settings
Quick Summary
Each location has its own configuration panel where you control AI behavior, auto-reply rules, approval requirements, and industry categorization. These settings apply only to the selected location.
Accessing Location Settings
- Go to the Locations page from the main navigation.
- Find the location you want to configure and click its name or the gear icon.
- The location settings panel opens with tabs for AI Preferences, Auto-Reply, Approval, and Category.
AI Preferences
AI Preferences control the tone, length, and style of the AI-generated review responses for this location. You can specify a friendly, professional, or casual tone. Premium plan locations can set custom prompt instructions for each star rating — for example, a more empathetic tone for 1-2 star reviews and a celebratory tone for 5-star reviews.
Pro Tip
Mention your location's name, neighborhood, or signature offerings in the AI preferences to make responses feel authentic and personal.
Auto-Reply Toggle
When auto-reply is enabled, ReviewPilot automatically generates and publishes responses to new reviews that meet your criteria. On the Basic plan, auto-reply covers 4- and 5-star reviews. On Premium, you can configure auto-reply for any star rating or disable it entirely for specific ratings.
Important
Turning on auto-reply means responses are posted without manual review. Make sure you are comfortable with the AI's tone and accuracy before enabling this for low-star reviews.
Require-Approval Toggle
Available on the Premium plan, the require-approval toggle adds a manual step before any AI response is published. When enabled, generated responses appear in a pending queue where a team member must approve, edit, or reject them. This is ideal for locations that receive sensitive or high-stakes reviews.
Industry Category
Setting an industry category helps the AI generate more relevant responses. If your location is a dental office, the AI will reference appointments and patient care. If it is a restaurant, the AI may reference dishes and dining experience. Choose from categories including Restaurant, Retail, Healthcare, Hospitality, Automotive, Professional Services, and more.
Note
The industry category is pulled from your Google Business Profile during initial sync, but you can override it here at any time.
