Managing Notification Overload
Quick Summary
ResponseIQ gives you full control over which notifications you receive. You can enable or disable each notification type independently, allowing you to tailor your email communications to match your workflow and reduce unnecessary inbox noise.
Accessing Notification Settings
- Navigate to Settings from the left sidebar.
- Scroll to the "Notification Preferences" section.
- You will see toggles for each configurable notification type.
- Switch each toggle to your preferred state (on or off).
- Click Save to apply your changes.
Changes take effect immediately. You will stop or start receiving emails for the affected notification types right away. There is no delay or confirmation period.
Turning Off Specific Notification Types
Each notification type serves a different purpose, and you may want to disable some while keeping others active. Here is guidance on when it makes sense to turn off each type:
| Notification Type | Consider Turning Off When... |
|---|---|
| New Review Alerts | You receive a high volume of reviews and individual alerts feel overwhelming. Use Daily Reports instead for a summary. |
| Low Rating Alerts | Not recommended to disable. These are your most important alerts for reputation management. |
| Response Published | You trust the auto-publish process and do not need confirmation for every published response. |
| Daily Reports | You check the dashboard frequently and already have a good sense of daily activity. |
| Monthly Reports | You use your own reporting tools or do not need periodic summaries. |
| Review Reminders | You use auto-reply and auto-publish for all ratings, so pending reviews are rare. |
Recommended Settings for Common Use Cases
Here are notification configurations optimized for different types of users:
| User Type | Enable | Disable |
|---|---|---|
| Solo business owner | All notifications. You need complete visibility. | None, unless review volume becomes unmanageable. |
| Multi-location manager | Low Rating Alerts, Daily Reports, Monthly Reports. | New Review Alerts (too many), Response Published (too many), Review Reminders (daily reports cover this). |
| Team member (Viewer role) | New Review Alerts, Low Rating Alerts. | Reports and Reminders, which are more useful for managers. |
| Hands-off auto-publish user | Low Rating Alerts, Monthly Reports. | New Review Alerts, Response Published, Daily Reports, Review Reminders. |
Pro Tip
Start with more notifications enabled and gradually disable the ones you find yourself ignoring. It is better to be initially over-informed than to miss an important alert because you disabled it too early.
Notifications You Cannot Disable
Two notification types are system-level and cannot be turned off:
- Team Invites: Sent when someone invites you to join their ResponseIQ account. These are essential for team collaboration and are sent infrequently.
- Password Reset: Sent when a password reset is requested for your account. These are critical for account security and are only triggered by explicit request.
Note
System notifications are rare and purposeful. You will only receive them when a specific action has been taken that requires your attention or response. They will not contribute to inbox clutter.
Email Deliverability Tips
If you are not receiving expected notifications, the issue may be related to email deliverability rather than your settings. Here are steps to ensure reliable delivery:
- Check your spam or junk folder. Email providers sometimes filter automated notification emails.
- Add the ResponseIQ sender email address to your contacts or address book.
- If your organization uses an email security gateway, ask your IT administrator to whitelist the ResponseIQ sender domain.
- Verify that the email address on your account is correct and that the inbox is actively monitored.
- Check your notification preferences in Settings to confirm the desired types are enabled.
