AI Response Preferences let you control the default tone, response length, and language used when ResponseIQ generates replies to your reviews. These settings shape the personality and style of every AI-generated response and can be adjusted at any time.

Setting Your Default Tone

The tone setting determines the overall voice and personality of your AI-generated responses. Choose the tone that best reflects how your brand communicates with customers. ResponseIQ offers five tone options:

CasualRelaxed and conversational. Great for food trucks, gyms, entertainment venues, and youth-oriented brands.
FormalRefined and dignified. Best for luxury brands, fine dining, high-end hotels, and premium services.

Pro Tip

If you are unsure which tone to choose, start with Friendly. It works well for the widest range of businesses and provides a natural, approachable voice that most customers respond to positively.

Choosing Response Length

Response length controls how much detail the AI includes in each reply. You can choose from three options:

  • Short (~50 words): A concise acknowledgment that thanks the reviewer and briefly references their feedback. Best for high-volume businesses or simple positive reviews.
  • Medium (~100 words): A balanced response that addresses the review content in moderate detail. This is the default and works well for most situations.
  • Long (~150+ words): A thorough response that engages deeply with the review content, addresses multiple points, and provides more context. Best for service-oriented businesses or negative reviews.

Note

The length setting is an approximate guide. The AI may produce slightly shorter or longer responses depending on the complexity of the review it is responding to. A simple 5-star review with no text will naturally produce a shorter response even on the Long setting.

Selecting Your Response Language

The language setting determines what language the AI uses when composing responses. ResponseIQ supports over 12 languages, and the AI generates responses natively in the selected language rather than translating from English. This produces more natural and fluent replies.

  1. Go to Settings from the left sidebar.
  2. Scroll to the "AI Response Preferences" section.
  3. Select your preferred language from the Language dropdown.
  4. Click Save to apply.

Important

The AI will respond in your configured language regardless of the language the review was written in. If your customers write reviews in multiple languages, choose the language that covers the majority of your audience.

How Changes Apply

When you update any AI response preference, the change takes effect immediately for all newly generated responses. Reviews that already have a generated response will not be automatically regenerated with the new settings. If you want an existing pending response to reflect your updated preferences, you can manually regenerate it from the Reviews page.

Pro Tip

After changing your AI preferences, monitor the next few generated responses to confirm the output matches your expectations. Small adjustments to tone or length can significantly change the feel of your responses.
