Inviting Team Members

Quick Summary

Invite team members by email, assign them a role, and optionally restrict their access to specific locations. Invitees receive a one-click onboarding link that gets them into the platform in seconds.

Sending an Invitation

  1. Go to Settings > Team and click "Invite Member".
  2. Enter the team member's email address.
  3. Select a role from the dropdown: Admin, Manager, or Viewer.
  4. Choose location access — toggle "All Locations" for full access, or select individual locations from the list.
  5. Click "Send Invitation". The invitee receives an email with a one-click onboarding link.

What the Invitee Sees

The invitee receives an email with your account name, their assigned role, and a prominent "Join Team" button. Clicking the button takes them to a sign-up page where they create a password (or sign in with Google). Once authenticated, they land directly in the dashboard with their permissions already configured. No additional setup is needed.

Note

Invitation links expire after 7 days. If an invitation expires, you can resend it from the Team settings page.

Managing Pending Invitations

Pending invitations appear in the Team settings page with a "Pending" badge. You can resend or revoke a pending invitation at any time. Revoking an invitation immediately invalidates the onboarding link. There is no limit to the number of pending invitations you can have.

Tips for Smooth Onboarding

Pro Tip

Let your team member know the invitation is coming so they check their inbox (and spam folder). Briefly explain their role and what they will be able to do in the platform to set expectations before they log in.
