Role Overview

Every team member is assigned exactly one role. Roles determine what actions a member can perform and what data they can access. The account creator is automatically the Owner and cannot be removed.

Owner

The Owner has unrestricted access to every feature in ReviewPilot, including billing management, subscription changes, and account deletion. There is exactly one Owner per account. Ownership can be transferred to another team member from Settings > Team, but the transfer requires email confirmation from both parties.

Admin

Admins have full access to all locations, reviews, settings, and team management. The only area they cannot access is billing — plan changes, invoices, and payment methods are restricted to the Owner. Admins are ideal for trusted partners or senior managers who need to configure the platform without financial access.

Manager

Managers can view and respond to reviews only at the locations they have been assigned. They can approve pending responses at their assigned locations but cannot change settings, invite team members, or access billing. This role is designed for location-level staff who need to handle day-to-day review management.

Viewer

Viewers have read-only access to reviews and analytics at their assigned locations. They cannot respond, approve, or modify anything. This role is useful for stakeholders who need visibility — such as regional directors or marketing teams monitoring reputation — without the ability to take action.
